Cristo Rey Jesuit is a learning community of nearly 500 young men and women in grades 9 through 12 and a faculty and staff of 80 educators. The Job:

The Front Office Administrator/Assistant to the Principal is a campus based position that plays a vital role in ensuring clear and effective communications with all community members and stakeholders. The position is responsible for delivering superior customer service to parents, families, and students by warmly greeting all visitors and directing them to the appropriate place or person. The Front Office Administrator/Assistant to the Principal will be responsible for supporting the Principal by scheduling, responding to correspondence, creating documents and other duties assigned by the Principal. The Front Office Administrator/Assistant to the Principal  agrees to maintain the confidentiality of the meetings and conversations involving the school staff, parents, and students from external and internal individuals and entities without explicit permission from the Principal.

Purpose:

As a member of the Cristo Rey Jesuit Administration Department, the Front Office Administrator/Assistant to the Principal seeks ways to conduct oneself in a professional manner through actions and communications with others.  He/she interacts in a positive and caring way with students, parents, outside contacts and staff by taking an active professional position in celebrating and upholding the Catholic and Jesuit identity of Cristo Rey Jesuit.  

Responsibilities:

Include, but are not limited to:

  1. As Assistant to the Principal you will facilitate communication and schedule appointments between the Principal, school administrators, faculty and school community.

  2. As Assistant to the Principal you will be responsible for contacting contacts and keeping meetings on schedule.

  3. As Assistant to the Principal you will facilitate document creation, organize duties or assignments, assist in all department purchase approvals and agree to other duties as assigned by the Principal.

  4. Coordinate with HR Recruiter and Academic team to coordinate the hiring process, set up  interviewing team and onboarding scheduling with new hires. 

  5. Operates the school’s multi-line phone system; directs calls to the appropriate party, takes messages and provides information and assistance to callers.

  6. Professionally greets and assists staff, students, faculty, and visitors; answers questions for staff, parents, students and others.

  7. Maintain daily student attendance records and contact parents regarding delinquency.  

  8. Sorts and distributes incoming mail; prepares outgoing mail.

  9. Assists with document preparation and other office duties as directed. 

  10. Maintains the general office filing system.

  11. Maintains an adequate supply of office supplies and materials for the administrative office area and places weekly orders for the entire faculty & staff.

  12. Contribute positively to employee morale; maintain a positive, pleasant demeanor to all constituencies.

  13. Maintain school security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)

 

Job Duties:  

Include, but are not limited to:

  1. Front Office Administrator/Assistant to the Principal agrees to be present and available for service of the School within the School Period between 7:00am and 4:00pm.  A one hour lunch will be provided.

  2. Front Office Administrator/Assistant to the Principal agrees to act in a manner as outlined in the mission, objectives, and policies of the School as articulated in the Employee Handbook.

  3. Front Office Administrator/Assistant to the Principal agrees to participate in administrative meetings, Communities, student supervision, record-keeping and reporting, parent-teacher relations, and other duties as assigned.

  4. Front Office Administrator/Assistant to the Principal agrees to participate in major school events including but not limited to the Mass of the Holy Spirit, Back to School Event, Open House, Baccalaureate Mass, and Graduation.

  5. Front Office Administrator/Assistant to the Principal agrees to respect and help form the spiritual values of the students and to support the Jesuit, Catholic identity of the School by exemplifying in his/her own actions the characteristics of Christian living, being a leader of prayer, and supporting the liturgical and spiritual life of the school.

  6. Front Office Administrator/Assistant to the Principal agrees to participate in the faculty and staff formation in Ignatian Spirituality, Ignatian Pedagogy, and Jesuit education.

  7. Front Office Administrator/Assistant to the Principal agrees to support and promote the success of the Corporate Work-Study Program.

  8. Front Office Administrator/Assistant to the Principal agrees to actively implement the Code of Conduct and Disciplinary Procedures as outlined in the Student Handbook when applicable.

  9. Front Office Administrator/Assistant to the Principal agrees to undergo a School-initiated initial and 3-year criminal background check, to complete required trainings, including but no limited to, an Archdiocese of Galveston-Houston Catholic Mutual Group Safe Haven online training seminar on child abuse and mandatory reporting, and to repeat their Safe Haven online training every 5 years.

  10. Front Office Administrator/Assistant to the Principal agrees to accept any special assignment that from time to time may be required for the efficient operation of the School, as assigned by the Principal.

  11. Front Office Administrator/Assistant to the Principal agrees to maintain the ability to work with several ‘supervisors’ while multi-tasking several projects at the same time

  12. Front Office Administrator/Assistant to the Principal agrees to be a resource to others including stop-in visitors, volunteers and staff

  13. Front Office Administrator/Assistant to the Principal agrees to be adept at building rapport and trust with people from diverse socio-economic and cultural backgrounds, including underrepresented urban youth and first-generation college students.

 

Qualifications: 

  • High school diploma or GED 

  • Ability to communicate proficiently with all constituents in a school environment in both English and Spanish.

  • Have excellent computer skills in Excel, Word, Access and PowerPoint and Google Docs, Drive, and Gmail 

  • Ability to use basic office equipment (copy machine, scanner, fax machine, etc.)

  • Be welcoming on the phone and a quick responder to inquiries

  • Possess superior customer service skills

  • Project a positive attitude

  • A minimum of 2 years in Administration position with comparable experience.

Physical Requirements and Work Environment:

● Regularly interact with students, parents, staff, corporate partners, and visitors.
● Work at a desk and computer screen for extended periods of time.
● Be able to occasionally lift up to 30 lbs.
